Parental Consent Policy

1. How consent is given

When you register a Parent/Guardian account on IWA, you complete a digital declaration by ticking an authorisation box. By ticking this box, you formally confirm that you are the biological parent, legally appointed guardian or authorised custodian of the child being registered, and that you authorise IWA to create and maintain a pseudonymised account for your child.

Ticking this box is your formal consent for IWA to collect, process and store your child's information as described in our Data Protection & Privacy Notice. Our database automatically records the date and time and the version of the policy you accepted.

2. What you are consenting to

Pseudonymised profile creation: setting up your child's IWA workspace using only their first name or a preferred nickname (surnames are never collected), their age band (10–12, 13–15 or 16–17), and an internally generated username and PIN.

Activity and reflection storage: saving your child's module progress, choices within interactive scenarios, and written reflections so they can save their progress and continue learning.

The safeguarding overhear loop: reflections are shared with you when your child ticks the “Share” box, or automatically when a reflection has not yet been cleared by the automated safety check. If the safety check flags a serious safeguarding concern (such as indicators of severe distress or self-harm), IWA's administrators and, for school students, the school's Super Admins are alerted immediately, and you are informed — except where the concern may involve home or was raised by your child themselves, in which case it is handled by safeguarding personnel first.

Strict non-commercial processing: your child's reflections are never used to train artificial intelligence models, and IWA never asks for photographs, camera access, microphones or voice recordings. Your child will never be scored, ranked or assigned a character grade.

3. How to withdraw consent

You retain the absolute right to withdraw your parental consent at any time without penalty. To do so, write to our support concierge at iwaconcierge@useiwa.com from the exact email address linked to your Parent/Guardian account.

Please state your full name, your child's first name or their unique IWA-generated username, and your school name if applicable. To prevent unauthorised account deletion, our team may require additional steps to confirm your identity before processing the request.

Once your identity is verified and the withdrawal is processed: your child's active sessions are invalidated and their account is paused; their profile, reflections and module history are deleted or anonymised under our approved deletion process; and a limited, anonymised record is preserved only where required by law, for financial auditing, or to satisfy documented safeguarding reporting rules.
